This Privacy Policy describes how Gmail Migration Studio ("we," "our," or "the Service") handles your information when we perform email migration services for you ("Client," "you," or "your").

2. Our Service Model

Gmail Migration Studio is a professional migration service, not downloadable software. We operate the migration tools on our own systems to migrate your email data to Gmail on your behalf.

2.1 How It Works

• You provide us with your MBOX file(s) containing email data to be migrated
• We process the migration using our proprietary tools on our systems
• We upload your emails directly to your Gmail account via the Gmail API
• You review and confirm the migration is complete
• We delete your MBOX files after successful migration

3. Information We Access and Process

3.1 Email Data (MBOX Files)

What We Access:

• MBOX file(s) you provide containing your email messages
• Email content, attachments, metadata (dates, senders, recipients)
• Folder/label structure from your MBOX files

Why We Need It: To parse, process, and upload your emails to Gmail while preserving labels, dates, and message structure.

Where It's Processed: On our secure systems (not on your computer).

3.2 Gmail Account Access

What We Access:

• Permission to create labels in your Gmail account
• Permission to upload messages to your Gmail account
• We use OAuth 2.0 authentication (you authorize access through Google)

What We Do NOT Access:

• We do not read existing emails in your Gmail account
• We do not access your Gmail contacts
• We do not access Google Drive or other Google services
• We do not store your Gmail credentials

3.3 Migration Reports

We generate Excel reports containing:

• Migration statistics (number of messages, labels created, dates)
• Error logs (if any issues occurred)
• Session summaries

4. How We Handle Your Data

4.1 During Migration

• Secure Processing: Your MBOX files are processed on our secure, firewalled systems
• Direct Upload: Emails are uploaded directly from our systems to your Gmail account via encrypted HTTPS connections
• No Third Parties: Your email data is not shared with or transmitted to any third parties

4.2 Data Retention

MBOX Files:

• Retained only during active migration
• Deleted immediately after you confirm successful migration
• If you do not confirm, deleted within 30 days of migration completion

Migration Reports:

• Retained for 365 days for support and troubleshooting purposes
• Contain only statistics and metadata (not email content)
• Automatically deleted after 365 days

OAuth Access Tokens:

• Stored securely during migration
• Deleted after migration completion
• You can revoke access anytime through your Google Account permissions

4.3 Data Deletion

You can request immediate deletion of your data by contacting us at [email protected]. We will:

• Delete all MBOX files within 24 hours
• Delete migration reports within 7 business days
• Provide confirmation when deletion is complete

5. Data Security

We implement industry-standard security measures:

• Encryption: All data transmissions use HTTPS/TLS encryption
• Access Control: Only authorized personnel can access migration systems
• Secure Storage: Files are stored on encrypted, firewalled systems
• OAuth 2.0: Industry-standard authentication with Google
• Regular Audits: Security practices reviewed regularly

6. Third-Party Services

6.1 Google Gmail API

We use Google's Gmail API to upload messages to your Gmail account. Your use of Gmail is governed by:

6.2 Google API Limited Use Disclosure

Gmail Migration Studio's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

• We do not use Gmail data for advertising or tracking
• We do not share Gmail data with third parties
• We do not use Gmail data to build user profiles

7. Your Rights and Control

You have the following rights:

• Access: Request copies of migration reports we've generated
• Deletion: Request deletion of your MBOX files and reports at any time
• Revoke Access: Revoke Gmail API access through Google Account permissions
• Data Portability: Request your migration reports in machine-readable format
• Correction: Request correction of any inaccurate information

8. No Automated Decision Making

We do not use your email data for any automated decision making, profiling, or algorithmic processing beyond the technical requirements of the migration itself.

9. Business Transfers

In the event of a merger, acquisition, or sale of assets, customer data may be transferred. We will notify you via email if such a transfer occurs and your data will remain subject to this Privacy Policy.

10. Children's Privacy

Our services are not directed to individuals under 18. We do not knowingly collect information from minors. If you believe we have inadvertently collected such information, please contact us immediately.

11. International Data Transfers

Our migration services are operated from servers located in the United States. If you are located outside the United States, your data will be transferred to and processed in the United States.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Changes will be reflected in the "Last Updated" date. Continued use of our services after changes constitutes acceptance of the updated policy.
